The first order of business is to set up a solid foundation for your organization’s financials.

The Fresh Start

If your organization is not currently using QuickBooks Online, or if your QuickBooks Online data is messy or confusing, Wise Dove can easily create a fresh start from the beginning of the current month. This one-time set up service includes:

  • Custom designed chart of accounts tailored to your organization

  • Connection between QuickBooks Online and your bank feed

  • QuickBooks Payroll configuration

  • Template financial policy and procedures documents

  • System for finance-related communication and organized storage for data and reports

The Firm Foundation

If you would like to backfill or retroactively clean up your QuickBooks records, I can complete a one-time project to prepare a solid historical basis of comparison for your reporting moving forward. This effort includes:

  • Standard monthly bookkeeping for the desired number of prior months (categorize transactions, reconcile accounts, produce reports).

  • A report of recent trends and insights for the completed period which can address your specific concerns or questions about your recent financial data.

Once everything is set up, we can keep a good thing going with routine bookkeeping, designed to meet the needs of non-profits.

My essential routine services are priced at a flat monthly rate that depends on the size and complexity of your organization.

  • Categorize transactions weekly

  • Reconcile accounts monthly

  • Produce financial reports including P&L and Balance Sheet monthly

  • Produce Budget vs Actuals report

  • Track up to 10 restricted funds or projects using directed donations

  • Advisory Service with quarterly report of insights and recommendations for leadership

  • Open communication - no hourly charge for email, text, and phone call questions

For more complex operations or those who are looking for additional administrative support, I can also add on the following services to my monthly bookkeeping.

  • Expense and receipt management

  • Bill payment/accounts payable

  • Invoicing/accounts receivable

  • Member/Donor contribution tracking and production of annual contribution statements

  • Unlimited fund and project tracking

Pay Your People

Your staff and contractors are the ones making a difference. Not every bookkeeper can run payroll, but I understand that if you need bookkeeping services, it’s likely that there are people relying on your organization to pay them quickly and accurately for their work.

Configuration of QuickBooks payroll is included in my startup cost and ongoing payroll coordination is included in my routine monthly service. That means I will:

  • Collect W4 information from employees and correctly configure withholdings

  • Configure your different pay types and benefits in QuickBooks Payroll for each employee

  • Keep employee paycheck deductions and elections up to date

  • Establish a payroll policy and routine, and run payroll at your organization’s chosen frequency

  • Produce quarterly 941 filings and annual W2s and 1099s for employees and contractors

Tell Your Story

Financial reports explain what you’ve accomplished and invite others to support your mission.

Most bookkeepers will produce a Profit & Loss report (aka Income Statement) and a Balance Sheet report. QuickBooks Online can produce these automatically, but their quality is only as good as the configuration of the chart of accounts and the tidiness of the data within QuickBooks. I know how to get everything looking sharp so that you can get the most out of QuickBooks automatic reports.

But at Wise Dove Insights, I go beyond automated reports. With my extensive data analytics experience, I’m able to create charts and visualizations that make it easy for management, board members or donors to understand the financial health of your organization.
